2. Purpose of the Campus Services Order Portal

The Campus Services Order Portal serves as a central user interface for the entry, display and management of orders and enquiries relating to services provided by the Campus Services department.

In order to provide the functions offered, personal data may be processed to the extent necessary for the use of the Order Portal, the processing of orders, communication with users or the provision of services.

For members of ETH Zurich, login takes place via the authentication services provided by ETH Zurich; for this purpose, contact and personal data from EntraID (a cloud-based identity and access management service from Microsoft) are used. This data is transferred unchanged from the respective source systems. External users can access the Campus Services Order Portal via their own user account after registering.

The following personal data is processed as part of the authentication process:

The ETH-external, cloud-based specialist application ‘Teamhero’ is used for the Student Helpers service. Users can switch directly from the Campus Services Order Portal to ‘Teamhero’. The personal data required to use the service is synchronised between the backend systems of the Campus Services Order Portal and ‘Teamhero’. This includes, in particular:

  • First name and surname

Synchronisation takes place automatically. The data is stored both in the ‘Teamhero’ application and in the backend systems of the Campus Services Order Portal. The software used and the associated data processing are subject to the requirements of the GDPR. No personal data is collected.

8. Live Chat

The cloud-based chat solution ‘Userlike (opens in a new tab)’ is used to provide the live chat support service. When using the live chat, the following data is stored:

The data is used exclusively to process the enquiry and to provide support to users. The data is not passed on to third parties. 9. Cookies and Tracking

The Campus Services Order Portal uses only technically necessary and functional cookies, which are required for the operation of the portal and the provision of specific functions. No cookies are used for advertising, marketing or analytical purposes. Specifically, the following cookies are used:

10. Recipients of data

Access to personal data is restricted exclusively to those ETH Zurich staff members who require such data to carry out their duties. Where external service providers are engaged for specific functions, access to data is granted only to the extent necessary and in accordance with the applicable data protection regulations.

11. Retention

Personal data processed in the Campus Services Order Portal and the linked specialist applications is retained only for as long as is necessary to fulfil the respective purposes, to provide the commissioned services, to comply with legal obligations, or in accordance with ETH Zurich’s retention and archiving requirements, but for no longer than ten years. Once the purpose of processing no longer applies or the maximum retention period has expired, the data will be deleted or anonymised, provided that no legal or organisational reasons require it to be retained further.

Notwithstanding the above, application data for ‘Student Helpers’, which is processed and stored in the ‘Teamhero’ specialist application, is automatically deleted after 300 days.
